Pesticide application records in Texas

What 4 TAC §7.144 asks for on each structural pest control record, how long to keep it and what the customer must get, based on our reading of the rule. And how PestSheet covers it.

Not legal advice. This summarizes our research of the official rule, checked September 30, 2026. Rules change and may require more than what is listed here: confirm with the official text or with the agency (Texas Department of Agriculture (TDA), Structural Pest Control Service).

What the record must include

  • Customer billing name and address
  • Service address where the pesticides or devices were used
  • Pesticide names and EPA registration numbers (if registered), or pest control devices used
  • Ready-to-use products: total amount of each pesticide applied
  • Diluted products: mixing rate (or % active ingredient) and total amount of material applied
  • Pest control devices used and total number of each
  • Target pest or purpose
  • Date of use
  • Name and license number of everyone applying, supervising or in training
  • TPCL number (and letter, if applicable) of the business

How long to keep it

2 years. Kept at the business facility location and made available to the TDA on written or verbal request.

What the customer gets

  • The rule does not require giving the customer a copy of the use record.
  • Interior treatment of an owner-occupied (not rented) home: the TDA Consumer Information Sheet must be made available to the owner.
  • Rentals with fewer than 5 units: the sheet is available to each resident on request at the time of each treatment.
  • Rentals with 5 or more units, workplaces and institutions (hospitals, nursing homes, hotels, warehouses, food plants, schools, daycares): the sheet and a pest control sign go to the owner, manager or employer at least 48 hours before treatment.
  • Invoices must show the business name, business license number, phone number and physical or mailing address.

Termites, fumigation and other cases

  • Termites: also record the area treated per site (e.g., square feet, except bait); for physical barriers, the square or linear feet plus an installation diagram; for commercial preconstruction (non-bait), number and capacity of tanks and start/stop time.
  • Termites/WDI: disclosure documents go with each written estimate and are kept 2 years (§7.174).
  • Emergencies: if the customer cannot sign the emergency statement, note it in the use record with the customer's name and phone number (§7.147(g)).

How PestSheet covers it in Texas

Before you complete a visit for a client in Texas, PestSheet checks that these fields are filled in:

  • Applicator license or certification number
  • EPA registration number
  • Amount applied
  • Target pest
  • Business license number
  • Rate or dilution

Also:

  • Link to the official TDA Consumer Information Sheet from visits for Texas clients (4 TAC §7.147).
  • Reminds you to keep records at least 2 years.
  • Export the records of any period as PDF or CSV for an inspection (Pro).

The client's name and address, the service date and start time, and the applicator's name are always recorded. The app uses the 4 TAC §7.144 template. It doesn't check items the app doesn't record (for example active ingredients or equipment); those remain your responsibility.
